General Description

Policy Summary:

This policy establishes the University's official methods of communication with students and defines students' responsibilities for receiving and responding to those communications. The University uses designated communication channels, including University-issued email and official mailing addresses, to convey time-sensitive, academic, administrative, financial, and legal information.

Students are responsible for monitoring these channels regularly and for maintaining accurate contact information with the University at all times. Communications sent through these official channels are considered received by the student, regardless of whether the student has read or accessed the message. Failure to review or respond to official communications does not excuse a student from complying with University requirements, deadlines, or obligations.

Scope:

This policy applies to all enrolled students, including undergraduate, graduate, and non-degree-seeking students, whether residing on campus or off campus.

The policy governs all official communications issued by the University, including but not limited to communications related to academic matters, registration, billing and financial obligations, financial aid, housing, student conduct, health and safety, and other administrative or institutional matters.

This policy applies across all University departments, offices, and programs that communicate with students using designated official communication methods.

Exceptions:

None.

Policy Content

The University designates the following as official methods of communication with students:
  • University-issued email accounts
  • Campus mailboxes assigned to on-campus residents
  • Local and permanent mailing addresses maintained in University records
  • MyTU intranet
  • Students’ personal cell phone

The University reserves the right to use any or all of these channels, as appropriate, to
communicate with students.

Each student is assigned a University-issued email account. This email account is the primary and official method of communication between the University and the student.

Students are required to:
  • Monitor their University email account on a regular and timely basis
  • Ensure their mailbox has sufficient capacity to receive messages
  • Read and respond to communications as required

All communications sent to a student's University email address are considered officially delivered and received. Students are responsible for all information, instructions, and deadlines contained in such communications.

Students are required to maintain accurate, up-to-date local and permanent mailing addresses with the University at all times.

  • Students residing on campus are assigned a campus mailbox, which serves as their local address of record.
  • Students residing off campus must provide and maintain a current local mailing address. The process to update a local address takes place in Workday. Students who live off campus are required to review and update their local address during course registration.
  • All students must maintain an accurate permanent (home) address. The process to update a permanent address takes place in Workday and should be reviewed each semester during course registration.

Students are responsible for:

  • Promptly updating any changes to their mailing addresses through Workday.
  • Reviewing and responding to all mail sent to their campus mailbox, local address, or
    permanent address.

Mail sent by the University to the addresses on file is considered officially delivered and received.

Students may update notification preferences in MyTU settings. Communication shared via the intranet is considered officially delivered and received.

In emergent situations, University officials may utilize cell phone numbers to communicate instructions and resources. Communication shared via a phone call or text is considered officially delivered and received.

Students are responsible for ensuring they receive and review all official communications from
the University.

Failure to monitor University email, retrieve mail, respond to phone calls or text messages, review intranet communication, or maintain accurate contact information does not constitute a valid reason for:
  • Missing deadlines
  • Failing to comply with University policies or requirements
  • Incurring financial penalties
  • Missing critical academic or administrative actions

Students bear full responsibility for the consequences of failing to access or act upon official communications.
